When should I attend?

We ask that you plan to attend the convening dates in your designated region. Regional convenings are designed to build strong relationships between schools in the same region and will be key to ongoing success.

[Day 2]  9:00 am to 3:00 pm Breakfast and lunch will be provided.

Travel & Lodging

Regional convening locations were chosen because of their central location to the majority of schools within the region. As such, most schools will be within driving distance of the convening location. 

Schools who meet the travel & lodging qualifications will receive financial support for flights and hotels. Qualifying schools have been pre-determined by Summit Learning and will be able to opt-in to booking flights and/or hotel during registration.

Travel & Lodging Qualifications:
    • School is 50+ miles from convening venue - Summit Learning will provide hotel night stays.

    • School is 200+ miles from convening venue - Summit Learning will provide round-trip air travel and hotel night stays.

How do I book my travel?

If your school meets the travel & lodging qualifications, you will receive an email from Summit Learning within 48-hours of completing your Eventbrite registration. 

If your school meets the travel & lodging qualifications for:
    • HOTEL NIGHT STAYS - the email will include a hotel survey, which will ask for your roommate preferences. Complete the survey. We will book the hotel reservation for you.* 

    • ROUND-TRIP AIR TRAVEL & HOTEL NIGHT STAYS - the email will include instructions on how to book your flight with Concur (an online travel booking platform). It will also include a hotel survey, which will ask you to indicate your roommate preferences. Complete the survey. We will book the hotel reservation for you.*
*Hotel confirmation emails will be sent two weeks prior to your event start date.


What if my school does not meet the travel & lodging qualifications?

If your school does not meet the travel & lodging qualifications, but you would like to stay at the hotel, you will need to book reservations on your own.


When should I fly in/out?

Please plan to fly into your designated city one-day prior to your convening start date and fly out on the day the convening ends (e.g. Convening dates: April 17-18  --->  Travel days: April 16 - fly in // April 18 - fly out). We will book your hotel reservation for the same days as your travel days. Summit Learning covers the cost of hotel rooms for 2-nights.

Travel Tips - Booking your Return Flight:
  • To allow enough time to get to the airport, it is recommended that you book return flights no earlier than 5:30 pm.
  • If you are flying out of a large metropolitan city it is strongly recommended that you book return flights no earlier than 6:30 pm.
Note: Summit Learning will only provide flights and hotels that correspond to your convening dates. If you choose to book travel outside of those dates, you will be responsible for booking your own hotel accommodations for those additional days.


Where should I fly in/out?

The travel & lodging email will include the designated arrival airport, as well as other important travel booking information. Please be sure to save the travel & lodging email for future reference.

Can I update my registration information?
You can log into your Eventbrite account and update your registration information at any time.

What if I am no longer able to attend?
Log in to your Eventbrite account and cancel your order. Please contact us at events@summitbasecamp.org and let us know.

Where can I contact the organizer with any questions?
Please send an email to events@summitbasecamp.org.

What if I forgot my Eventbrite username or password?
Your username is your email address. To reset your password click here

What costs associated with the convening does Summit Learning cover?

  • Hotel nights stays beyond the two nights provided by Summit Learning
  • Hotel reservations booked by someone other than Summit Learning
  • Hotel reservations for non-qualified schools
  • Flights purchased outside of the Concur booking system
  • Luggage fees
  • Flight change or cancellation fees
  • Rental cars, Uber, Taxi, or Lyft
  • Mileage reimbursements
  • Salaries for staff who attend the convening
